Here are some very good reasons why your organisation should use them.

Welcome message – A welcome greeting is exactly what it says on the jar allowing the individual ringing know they have contacted the right number and conveying your professionalism. First impressions are a must in any organisation.


Call Queue – “We apologise the member of the team you have rung Is busy you are number 20 in the queue”, not something you want to hear but allows you to make a decision that the individual you are ringing is busy and that you can either hold the line or leave a voicemail. This sort of system can help filter important and less urgent calls and also gives you access to a captive audience when it comes to marketing.


Caller options – This type of phone system that is automated but puts the caller in the driving seat, “press 1 for accounts, 2 for Facilities” etc. Each option can be divided into other options allowing the customer to get through to exactly who they want.


Hunt group – A hunt group is extremelly helpful as it allows you to direct calls to different people that could answer the types of questions that would be arriving in on that number. Very useful if you have a big team and need specific people to answer calls, will route to number 1, then number 2, then mobile 3, then voicemail. This helps make sure that clients don’t get pushed to the wrong individuals and get passed around from pillar to post.


Geographic call routing – This is a useful little system for individuals that do their job within a network of branches or franchises over the country as It will direct to the branch nearest to the person that is calling. 0300 numbers are perfect for this.
